Delete Your Account

You can delete your RosterPass account at any time, from the mobile app or from the web. Deleting your account removes your personal information and permanently revokes your access to every club you belong to.

Delete from the mobile app

  • Open the RosterPass app and sign in.
  • Tap More in the bottom tab bar.
  • Tap Edit Profile.
  • Scroll to the bottom and tap Delete Account, type DELETE to confirm, and confirm again.

Delete from the web

  • Sign in at www.rosterpass.com (or at your club's own web address, if it has one).
  • Open the menu with your name at the bottom of the sidebar and choose Edit Profile.
  • Scroll to Danger Zone and select Delete Account.
  • Type the confirmation phrase shown, then confirm.

Deletion through the app or the web takes effect immediately. Once it completes you are signed out, and that account can no longer be used to sign in. If something goes wrong part-way the app tells you so and you can try again.

If you cannot sign in

If you have lost access to your account and cannot complete the steps above, email privacy@rosterpass.com from the address associated with your account and ask us to delete it. We will complete the deletion within 30 days of verifying your request, and will reply to confirm when it is done.

If you are a club's only administrator

A club can never be left with no administrator, so if you are the last remaining admin of a club, deletion is refused and the app will tell you which club is blocking it. Give another member the Admin role in that club first, then delete your account. This applies only to club administrators — parents, players and coaches are never blocked.

What is deleted, and what we keep

Removed when you delete your account:

  • Your sign-in credentials. The account is deleted from our authentication system and can no longer be used to sign in.
  • Your account profile — your name, email address, phone number, birth year and profile photo. Where your name previously appeared in club and team records, those records now show “Deleted User”. One exception: if you were a club administrator, your email is preserved inside that club's administrative audit record of the deletion (one for each club you administer).
  • The contact details you entered on forms — registration and interest forms, waitlist entries, financial-aid requests, club invitations and messages sent through a club's contact form. Your name, email address and phone number are removed from each of them, along with any additional contacts you listed for other people. A financial-aid request also loses the reason you gave for asking.
  • Your signature and the record of how you signed — for any club document you signed, the drawn signature itself, the name and email captured at the time, the form fields you filled in, and the IP address and device the signature came from.
  • Your consent records' identifying details — the name, email address and IP address attached to a consent you gave. The club keeps the fact that consent was given and when, which is the point of the record, but not who it identifies.
  • Your conversations with Champ, our in-app assistant, including anything you typed into them.
  • Your registered devices and any push notifications waiting to be sent to them.

Kept after deletion:

  • Payment and financial records — dues, charges, payments and refunds are retained for legal, accounting and tax purposes. Deleting your account does not cancel money you already owe; any outstanding balance remains owed to the club and payable. If you have a payment plan, deleting your account stops it — no further scheduled payments are taken from your card. What you already owe does not go away: the remaining balance stays with the club as an outstanding amount, and you or the club can settle it. If the plan cannot be stopped for any reason, we do not delete the account, because that would leave your card being charged with no way for you to stop it.
  • Club and team records your activity is part of, such as messages you sent and administrative history. These are kept so the club's own records stay intact, and are attributed to “Deleted User” rather than to you.
  • The fact that you registered, asked or signed — the form, request or signed document itself stays, without your contact details on it, along with the club's own notes and decisions about it. A club still needs to know that a place was requested, an aid decision was made, or a required document was signed and when.
  • Who paid a completed payment — on an order that was actually paid, the payer's name and email stay on the club's record of that transaction, because that is what the club's accounts and tax records are built from. Orders that were never completed have those details removed like any other form.

Player records belong to the club rather than to your personal account. If a player profile should also be removed, ask a club administrator, or contact us at the address above.
