Terms of Service

Please read these Terms of Service ("Terms") carefully before using RosterPass ("the Service"). By accessing or using the Service, you agree to be bound by these Terms.

1. Acceptance of Terms

By creating an account or using the Service, you agree to these Terms and our Privacy Policy. If you are using the Service on behalf of an organization (such as a sports club), you represent that you have the authority to bind that organization to these Terms.

2. Description of Service

RosterPass is a multi-tenant platform for managing youth sports clubs. The Service provides tools for roster management, team scheduling, payment tracking, communication, and registration workflows. Each club operates as an independent tenant with its own data, branding, and member management.

3. User Accounts

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use. You must provide accurate and complete information when creating your account.

4. Club Administrator Responsibilities

Club administrators agree to:

  • Manage their club's data responsibly and in compliance with applicable laws
  • Obtain appropriate consent before collecting personal information, especially for minors
  • Respond to data access and deletion requests from their members in a timely manner
  • Not use the Service for any purpose other than legitimate sports club management
  • Ensure that their use of the Service complies with all applicable local, state, and federal laws

5. Payments and Refunds

The Service facilitates payment collection between clubs and their members using Stripe Connect. RosterPass is not a party to financial transactions between clubs and their members. Refund policies are set by individual clubs. Platform subscription fees are billed according to the selected pricing tier and are non-refundable except as required by law.

6. Prohibited Conduct

You agree not to:

  • Use the Service for any unlawful purpose or in violation of these Terms
  • Attempt to gain unauthorized access to other users' accounts or club data
  • Upload or transmit malicious code, spam, or harmful content
  • Interfere with or disrupt the Service or its infrastructure
  • Scrape, harvest, or collect data from the Service without authorization
  • Impersonate another person or misrepresent your affiliation with a club

7. Intellectual Property

The Service, including its design, features, and code, is owned by RosterPass and protected by intellectual property laws. Club content (logos, names, custom pages) remains the property of the respective clubs. By uploading content, you grant us a limited license to display and process it as needed to provide the Service.

8. Limitation of Liability

To the maximum extent permitted by law, RosterPass shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or profits. Our total liability for any claim arising from or related to the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

9. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, error-free, or secure.

10. Termination

We may suspend or terminate your access to the Service at any time for violation of these Terms or for any other reason with reasonable notice. You may delete your account at any time. Upon termination, your right to use the Service ceases immediately. Provisions that by their nature should survive termination shall survive.

11. Changes to Terms

We may modify these Terms at any time. We will notify users of material changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, without regard to conflict of law principles.
